Events App Feature Overview – Whereabouts
This article outlines the features available in the Events App in Whereabouts, including how events are viewed, created, managed, and exported. Use this guide to understand each step of the workflow for both internal teams and partner businesses.
📂 Event Views
When you log in to the Events App, you’ll see events sorted by different statuses:
- Approved – Live events that are visible on your public website.
- For Review – New or edited events that need DMO approval.
- Cancelled – Events that have been cancelled by the host.
- Declined – Events your team has chosen not to publish.
- Drafts – Events that are saved but not submitted yet.
- Past – Events that have already occurred.
📁 Exporting Event Data
DMOs (destination management organizations) can download all event data using the Export to CSV button. This is useful for backups, record-keeping, or sharing reports.
📝 Creating an Event
Creating an event is a step-by-step process designed to be easy for businesses and intuitive for your team to review.
Step 1: Event Basics
- Choose if the event is Virtual or In-Person.
- Add an Event Name and Description.
- Optionally include:
- Pricing Details
- Ticketing Website
- Event Keywords – Select from a global list to improve discoverability.
- Organization-Specific Keywords – Custom tags your DMO can create and apply internally.
Step 2: Host & Location
- Select the Host Name from a dropdown of businesses (supports multi-host events).
- Enter an Event Link (if there's a dedicated website).
- Add the Address, Email, and Phone Number for the event.
Step 3: Add Photos
- At least one photo is required.
- You can upload as many photos as needed.
- Drag and drop to reorder the images.
Step 4: Scheduling Options
Choose one of three scheduling formats:
Single-Day
- Select the event date.
- Add one or more time slots.
Multi-Day
- Select multiple dates.
- Add time slots to each day (no limit).
Repeating
- Set a start and end date.
- Choose repeat rules:
Daily, Weekly, Monthly, Yearly, Weekdays Only, or Custom - Optionally skip certain dates.
- Add recurring time slots.
Step 5: Submit for Review
Once you're done:
- Preview the event listing.
- Make any last-minute edits.
- Submit it to your DMO team for approval.
💡 Tip: You can return to drafts anytime if you need to continue editing before submitting.
